Position Summary:
The Catering Assistant position provides administrative and sales support to the Director of Catering for banquet events. All aspects of the sales cycle will be supported from direct customer relations and sales, internal staff meeting support, event operations assistance, and customer file management.
Essential Duties & Responsibilities:
- Maintain updated knowledge of all pertinent aspects and policies of the facility and its amenities
- Maximize use of in-house databases to create and distribute Proposals, Contracts, and Banquet Event Orders
- Keep complete and up-to-date hard copy files for all events
- Make sure that all communications with clients are responded to promptly
- Attend weekly Banquet Event Order meetings and keep notes, updating BEO’s as needed Communicate event information with Reception desk staff and provide information to all staff by creating monthly calendars, and weekly BEO packets
- Assist with creation of room diagrams, schedules and timelines, lunch and beverage tickets, buffet labels, signage and room layouts as needed
- Assist with on-site coordination for weddings and photo ops using golf cart
- Assist Director of Catering by on-site staffing of trade-show booth (as needed)
- Assist Director of Catering with in-house promotional events for weddings, mixers, etc as needed
- Work with Catering staff as needed to make sure information on BEO’s is updated and details are carried out as contracted
- Assist the Director of Catering by working with Golf groups and Meeting clients to help plan menus for boxed lunches and reserve spaces for their events as needed
- Perform tours with potential clients and follow-up with all inquiries
Qualifications:
- College preferred
- Computer skills required: Excel, Word, database management
- Food and Beverage experience preferred
- Familiarity with Golf a plus
- Demonstrate attention to detail in paperwork, letters, and emails
- Demonstrate high quality verbal and interpersonal communication skills
- Ability to be flexible and efficiently handle multiple duties under pressure with minimal supervision
- Work flexible hours as required including evenings/weekends if needed

- Serve food and beverages to the table.
- Follow up with guests to ensure guest satisfaction.
- Perform table maintenance as needed.
- Set Up, Break down and execute banquet floorplans
- Keep tables, dining room and bus station clean and tidy.
- Advises management of any complaints as soon as they occur.
- Performs side work, clean-up and closing duties as assigned.
- Attend meetings as requested.
- Clearly communicate all food and beverage dishes and drinks to the guest.
- Assist team members as needed.
- Communicate and work well with team members to achieve customer satisfaction.
- Must have professional appearance and attitude at all times.

Qualifications:

- Obtain service area assignment at the beginning of each shift.
- Promptly greet guests as they are seated and bring bread, butter and water to table.
- Remove used tableware between courses and provide tableware for next course.
- Clear tables after guests. Take tableware to dish room and place silverware, dishes, glassware, etc. in appropriate areas for washing.
- Between seating’s promptly clean table tops, chairs and booths. Check floor and clean as required. Reset and arrange tabletop.
- Inspect assigned restroom every 30 minutes and clean as needed.
- Respond appropriately to guest requests. Communicate guest requests to server as needed.
- Communicate with server and hostess to assure efficient seating, table utilization and customer service.
- Assist server as needed with food delivery, especially with large parties and during peak periods.

- Be available to fill in as needed to ensure the smooth and efficient operation of the restaurant as directed by the restaurant manager or immediate supervisor.

Essential Duties & Responsibilities
- Welcome and greet guests. Make all our guests feel comfortable and let them know you’re there to personally take care of them.
- Inform guests of specials and menu changes.
- Make recommendations you genuinely feel your guests will enjoy.
- Answer questions about our food, beverages and other restaurant functions and services.
- Take food and beverage orders from guests, enter orders in our point-of-sale system which relays orders to the kitchen and bar.
- Deliver food and beverages from kitchen and bar to guests in a timely matter.
- Perform side work at the start and end of each shift as required by service station assignment.
- Maintain clean service areas.
- Monitor and observe guests dining experience. Ensure guests are satisfied with the food and service. Respond promptly and courteously to any requests.
- Prepare final bill, present check to guest, accept payment, process credit card charges or make change (if applicable).
- Be ready and willing to assist fellow servers as situations arise.
- Be ready and willing to assist bus person with clearing and resetting tables.
- Thank guests for their visit and invite them to return.
- Be available to fill in as needed to ensure the smooth and efficient operation of the restaurant as directed by the restaurant manager or immediate supervisor.
Qualifications
- Be able to communicate and understand the predominant language(s) of our guests.
- Must have a basic knowledge of dining room and service procedures and functions.
- Possess basic math skills and have the ability to handle money and operate a point-of-sale system.
